If there is one theme that keeps coming up in every conversation I have with business owners, it is this: people are exhausted.

Not because the work is difficult. But because the work is endless.

The emails, the files, the follow ups, the research, the content, the proposals, the paperwork. The things that pull us away from the work we actually enjoy. The creative, strategic thinking that moves a business forward.

I felt this deeply inside my own organisation. We had talented people spending large parts of their week on repetitive tasks. Work that had to be done but was not meaningful. Work that drained their time and energy.

That is when everything changed for us.

Because I realised that almost anything we were doing on a computer could be automated with the help of AI.

The Shift That Changed Everything

People often think of automation as an old style rule based system that moves files around. Step one, step two, step three. The same pattern every time.

AI automation is different.

AI can now read, interpret, decide, summarise, rewrite and convert information. It can understand the intent of an email. It can extract details from a document. It can turn raw research into a structured brief. It can follow instructions that previously only humans could follow.

That one shift opens the door to automation in places we never imagined before.

How I Built AI Inside My Marketing Team

Let me give you a real example inside my own business.

Our content pipeline used to involve topic research, strategy, writing, graphic design, editing and publishing. It took a team to do it properly.

Today, the process looks very different.

We have a master agent that selects a topic from a constantly updated list. It assigns tasks to a market researcher, a designer and a strategist. These are not people. These are specialised AI agents built with tools like Make.

Perplexity completes the research. Claude handles the writing. Other modules create images. Another agent publishes the article.

Then a separate automation reads that same article and converts it into dozens of different content pieces for TikTok, Instagram, LinkedIn and our blog.

From a single podcast we now produce fifty to sixty pieces of content across all platforms. My team can then focus on positioning, messaging and creativity. The parts that actually require human insight.

This is the power of AI when it is used correctly. It multiplies your output without multiplying your workload.

The Human Question Everyone Thinks About

Every time I talk about this, people ask a version of the same question.

Am I going to lose my job?

My honest answer is no. But your job will evolve.

The value of humans has always been in understanding people, creating original ideas and solving real problems. AI cannot replace that. It simply removes the tasks we were never meant to spend hours on in the first place.

Inside my own team, I had to address this head on. There was scepticism, discomfort, even fear. Especially from the developers. They did not enjoy the idea of talking to an AI agent to write or check code.

So I told them the truth. The world is changing. If you learn how to use these tools you become more valuable, not less. If you ignore them you might struggle to grow in your career. It is not just about our organisation. It is about their professional future.

Once they tried it, everything changed. They could see the improvement. The speed. The reduction in boring tasks. The sense of relief when something that usually took two hours took five minutes.

That shift in mindset made all the difference.

Automating Sales From Lead to Proposal

Marketing is only one piece. Let me share what this looks like inside sales.

When someone submits a query on our website, an AI agent reads the message, identifies the intent and sends a personalised reply. It proposes meeting times and clarifies the next steps. It feels human because it uses our brand tone and my writing style.

Next, another agent enriches the lead inside our CRM. It looks up the company website. It gathers background details. It finds the person on LinkedIn. It gives me a clear picture before the meeting even starts.

After the meeting, the transcript is converted into a complete proposal through a combination of our templates, our previous winning proposals and the details from that conversation. It also includes suggested solutions and estimated ranges which we then refine.

We used to spend hours creating proposals. Now we spend five to ten minutes reviewing them.

When a contract is signed the automations continue. Invoices are created. Projects are set up. Tasks are planned. All without someone sitting down to rewrite the same information again and again.

It is the same intelligence we always had. We are simply not wasting time on the mechanics.

Why Tender Automation Changed Our Entire Workflow

If you have ever been involved in tender submissions, you know how draining the process is. It is not just the writing. It is the reading, the cross checking, the formatting, the attachments, the duplication and the back and forth. Most businesses simply do not have the capacity to respond to as many opportunities as they would like.

We were the same. A single tender used to take us six to seven full days. Now it takes one.

Here is what changed:
An AI agent monitors our tender portal and filters the opportunities. It scores them based on relevance, past experience, location and value. Instead of someone reading through dozens of documents, we only look at the ones that fit us.

The agent then converts the tender documents into a clear, structured brief. It extracts the requirements, identifies the risks and pulls out the key evaluation criteria. No more scanning hundreds of pages manually.

From there, it drafts a response using our previous successful submissions as context. We still refine the details and shape the final solution, but the heavy work — the part no one enjoys — is already done.

This shift has not only saved us time. It has increased the number of tenders we can respond to, and improved the consistency of our submissions.

Once you see this level of automation, you no longer want to go back to the old way of working.

The Dumb Monkey Moves I See Far Too Often

There are two behaviours that slow businesses down more than the technology ever will.

The first is the classic “we are too busy” excuse.

I hear it constantly. Too busy to automate. Too busy to map processes. Too busy to implement systems.

But automation is the thing that gives you back the time you never have. If you wait until you are free, it will never happen. You stay stuck in the same loop.

The second is silence.

I meet large organisations who quietly roll out AI in their leadership teams but never explain what is happening to the people doing the actual work.

This always creates fear. People fill the gaps with assumptions. Instead of curiosity and adoption, you get resistance.

Neither of these problems are technical. They are behavioural. And they are completely avoidable.

A Message for Business Leaders

If you want AI to work in your organisation, you need your people with you.

Be open about what you are doing. Give your team clarity on the direction. Show them how these systems remove the work that drains them every week.

When people understand the purpose behind automation, they stop worrying about losing their job and start thinking about how they can use these tools to do their best work. That is when productivity increases. That is when creativity returns. That is when teams become faster and more confident.

The businesses that move ahead over the next few years will not be the ones with the biggest budgets. They will be the ones that communicate well, adopt early and remove the operational drag that slows everyone down.
